# Your mailboxes

> Connect the mailboxes of your business with an app password, for campaigns, Compose and Reply.

The mailboxes of your business are the addresses that campaigns, Compose and Reply send from. You connect each one with
an app password: never the own password of the account. Troopy checks the sign-in, then seals it. This page tells how
to connect a mailbox, test it and set its pace.

## Before you begin

- Only owners and admins connect mailboxes.
- A mailbox on the own domain of your business, not on a domain of a mail provider such as gmail.com.
- SPF or DKIM on that domain. Without them, campaigns cannot send from it.

## Make an app password

| Provider | Where to make it |
| ---------------- | ----------------------------------------------------------------------------------------------------------------------- |
| Google Workspace | Turn on 2-Step Verification for the Google account of the mailbox. Then make an app password, and paste its 16 letters. |
| Zoho Mail | In Zoho Accounts, open **Security** > **App Passwords**, and make one named Troopy. In Zoho Mail, turn on IMAP Access. |
| Fastmail | Open **Settings** > **Privacy & Security** > **App passwords**. Make a password named Troopy, with access to Mail. |
| Another provider | Make an app password with access to IMAP and SMTP. |

Troopy finds the provider of the mailbox from the MX records of its domain.

## Connect a mailbox

1. Open **Settings** > **Email** > **Mailboxes**.
2. Select **Connect a mailbox**.
3. Type the address and the app password.
4. Select **Connect mailbox**. Troopy signs in to send and to read before it keeps anything.

A mailbox belongs to one workspace. The page does not offer Microsoft 365 for now.

## Check the domain

Each mailbox shows the checks of its domain:

| Check | What it means |
| ---------------------------- | ------------------------------------------------------------------------------------ |
| **No SPF** or **No DKIM** | Its mail can't prove that it is yours. Add SPF or DKIM, then select **Check again**. |
| **No DMARC** | It works. Add a DMARC record, so that mail servers trust the domain. |
| **Two SPF records** | The domain has two SPF records. Keep one. |
| **Works, and can be better** | It sends. One of the records can improve. |

## Send a test

1. Select **Send a test** on the mailbox. It sends an email to the own address of a teammate.
2. Wait. The result says **Arrived, all checks passed**, **Arrived, with problems** or **Did not arrive**.

A test send needs the inboxes of teammates, and at least one teammate.

## Set the pace

| Setting | What it does |
| ----------------- | --------------------------------------------------------------------------------- |
| **From name** | The name that people see, such as Sam Lee. |
| Signature | The words under each email that the mailbox sends. |
| **Most a day** | The most emails in 24 hours. A new mailbox starts at 10 a day, then adds 2 a day. |
| **Minutes apart** | The time between two emails of a campaign. |

Each mailbox shows what it sent in the last 24 hours, and its limit now. An email of a campaign and an email that a
person writes count in the same day.

## Read all mail

Turn on **Read all mail** for a shared address, such as hello@. Then everyone in the workspace reads its new mail on
the Email page for 30 days, and the Assistant can sort it. It works with an app password only.

> [!WARNING]
> **Turn it off** deletes the mail that Troopy kept for this mailbox. Troopy asks first.

## Pause, connect again or remove

- **Pause** stops the mailbox. Campaigns do not send from it.
- **Connect it again** with a new app password when its sign-in was refused.
- **Remove it** removes the mailbox from the workspace.

Two bounces in the last 50 sends pause a mailbox by itself. See [Fix email problems](/docs/email-problems).
