# Keep lists of people and companies

> Build lists, add columns that fill themselves, import and export CSV, and ask Outreach to find leads.

The CRM keeps lists of people and companies, as fast grids. A list can have columns that fill themselves: an AI
answer, a score, or a work email. Outreach can find leads for you, each with the page that shows that it fits. This
page tells how to build and fill lists.

## Before you begin

- The CRM is a product. A person sees it only when it has the product. See
[Invite people and choose their roles](/docs/people).
- Finding leads needs Outreach in the troop. The page offers **Hire Outreach** when you have none.
- The email columns use your own Hunter key. See [Hunter](/docs/apps/hunter).

## The parts of the CRM

Open **CRM** from **Products**. The sidebar lists its parts while the CRM is open:

| Part | What it holds |
| ------------- | ------------------------------------------------------------------------ |
| **Lists** | Your lists of people or companies. |
| **Contacts** | Each person, or each company with the tab at the top. |
| **Campaigns** | Email campaigns. See [Send email campaigns](/docs/outreach). |
| **Customers** | Who pays the business. See [Understand your customers](/docs/customers). |

One record exists for each person and each company. Troopy finds a record again by its email, its LinkedIn, its Apollo
id or its domain. Thus a person on two lists is one record, and Troopy enriches it one time.

## Make a list

1. On **Lists**, select **New list**.
2. Type the **List name**, and pick what **Each row is**: **People** or **Companies**.
3. Pick how to start:

| Start | What it does |
| ------------------------------------ | -------------------------------------------------------------------------------------- |
| **Empty list** | A grid with no rows. **Type rows in**, or import a file later. |
| **Import a CSV file** | Reads a CSV file in your browser. The first row names the columns. |
| **Find leads** | Asks Outreach to find people or companies that fit, with **Who do you want to reach?** |
| **Local businesses** | Businesses **By kind and city**, from open places data. No AI plan is used. |
| **Customers from Stripe or PostHog** | People who **Paid, left or signed up**, from your own data. |

4. Select **Make list**.

### Import a CSV file

1. Select **Choose file**. A file has 20 MB at most.
2. Under **Where each column goes**, match each column of the file to a column of the list, or **Leave out**.
3. Confirm. Troopy sends 1,000 rows at a time, and goes on where it stopped after a pause.

## Find leads with Outreach

1. On **Lists**, type in **Who do you want to reach?**, such as "Independent dental clinics in Austin, TX that book
   online".
2. Say a little more: what they do, where, and what makes one a fit.
3. Send it. Outreach makes a list with a **Fits** column, and works on it.

A bar over the list shows the orb while Outreach works. Outreach adds the ones that fit, each with the page that shows
it. When it has a question, the bar shows it. Then pick **Looks good**, **Find 10 more**, or ask for something else.

Outreach checks each lead against what its run saw. That is the page that shows the fit, the site, and an email or a
phone on a page that it read.

## Columns that fill themselves

1. Select **Add column**, then **It fills itself**.
2. Pick what it fills in:

| Kind | What it gives |
| --------------------------------------------------- | ------------------------------------------------------------------------------------------ |
| A short answer, a score, a choice, or **Yes or no** | An AI answer from the site of each row. Say **What should it work out for each row?** |
| **Contact email** | The published email of a company. |
| **Work email** | The email of a person, from the site of their company, checked with Hunter when connected. |
| **Email check** | Whether each email reaches its person, with Hunter. |

3. Select **Try it on 10 rows** to see answers first.
4. Then fill the rest from the menu of the column header.

| Action of the header | What it does |
| ------------------------- | ---------------------------------------------------------- |
| **Try it on 10 rows** | Fills 10 rows. |
| **Fill every empty cell** | Fills only rows without an answer, after an estimate. |
| The rows shown | Fills the rows that you picked. |
| **Fill every row again** | Gives each row a fresh answer, except cells someone typed. |
| **Stop filling** | Stops the column. |

A cell shows the orb while it works. A cell is filled, **Nothing found** or **Failed**. The note and the sources of a
cell show under the grid. A fill never changes a cell that a person typed.

> [!NOTE]
> An AI column uses your AI plan. A workspace fills 2,000 AI cells a day. Email lookups with Hunter are 1,000 a day.

## Work in the grid

- Type in a cell to change it. The arrow keys move between cells.
- Each column header sorts and filters. **Search the list** finds rows.
- **Columns** shows or hides columns.
- **Export as CSV** downloads the list as a CSV file.
- **Remove from list** takes the picked rows off the list. The records stay.

A list has 100 columns and 100,000 rows at most. A workspace has 200 lists.

## Do not contact

A person on do-not-contact gets no email from a campaign. Anyone adds an entry. Owners and admins take an entry off,
except an unsubscribe or a forgotten person. See [Send email campaigns](/docs/outreach).
