# Send email campaigns

> Write a campaign, review its emails, send from your own mailboxes, turn on Autopilot and sort the replies.

A campaign writes to a list of people from the mailboxes of your business. It has steps: emails in your own words, or
emails that a teammate writes for each person, and tasks for a person. Each email waits for your yes before it goes,
unless an owner or admin turns on Autopilot. This page tells how to run a campaign and sort its replies.

## Before you begin

- A list of people. Make one in **Lists**, or import one. See [Keep lists of people and companies](/docs/crm).
- A mailbox of your business on its own domain, with SPF or DKIM. See [Your mailboxes](/docs/apps/mailboxes).
- The postal address of the business. Every email ends with it, as the law in many places asks.
- For emails that a teammate writes: Outreach in the troop.

Outreach sends from your own mailboxes. It never sends through the mail service of Troopy.

## Make a campaign

1. Open **CRM** > **Campaigns**, then select **New campaign**. Or select **Email these people** on a list.
2. Give it a **Name**, such as "Austin dentists, autumn", and pick the list.
3. Select **Make the campaign**. Its page opens on the steps that get it ready.

## Get it ready

| Step | What to do |
| ------------------ | ----------------------------------------------- |
| **Steps** | Write the emails and the tasks of the campaign. |
| **People** | **Add people from the list**. |
| Mailboxes | Pick which mailbox it **Sends from**. |
| **Postal address** | Add **The business's postal address**. |

### Write the steps

A step is an email or a task for a person. Each step comes some **Days after the step before**.

| Kind of email | **Who writes it** |
| --------------------------- | ----------------------------------------------------------------------------------------------------------- |
| **Your own words** | You write the subject and the words, with variables such as `{{first_name\|there}}`. |
| **Written for each person** | **Your teammate** writes each email from **What the first email is for**: the offer, the angle and the ask. |

For an email that a teammate writes, select **Write 3 samples** to read 3 emails for three people on the list. Nothing
is sent or saved. A task step says **What a person does**, like "connect on LinkedIn".

Select **Save steps**. Saving new steps drops the drafts that nobody approved yet.

### Add people

Select **Add people from the list**. Troopy adds each person whose email a check said reaches them. If you ask, it also
adds an email that no check looked at. It never adds an invalid email, or a person on do-not-contact.

### Start

Select **Start**. If sending is off for the workspace, Troopy asks to turn it on too: **Start and turn sending on**, or
**Just start it**.

## Review the emails

The first emails appear in a minute or two under **To review**. Each email waits for your yes.

1. Read each email. A flag says what a check found, such as a fact that the sources do not show.
2. Select **Approve**, **Change it**, or **Skip this person**.
3. To ask the teammate for another version, select **Write it again** and say **What to change**.

You can approve one page of emails without flags at one time. A flagged email waits for you one by one. Approved emails
go in the sending hours of the campaign.

> [!NOTE]
> Sending is a switch of the workspace. When it is off, approved emails wait. An owner or admin turns it on in
> **Campaigns** with **Turn sending on**.

## How sending works

- One email leaves each mailbox at a time, in the sending hours and the time zone of the campaign.
- A new mailbox sends 10 emails a day at first, and 2 more each day.
- Troopy checks each email again as it goes: the campaign runs, the person is at that step, and is not on
  do-not-contact.
- A follow-up goes only after Troopy read the replies of the mailbox in the last half hour.

An email that possibly went shows **Not sent** or as unknown. Troopy looks for it in the Sent folder after ten minutes,
and never sends it again by itself. Select **It went** or **Send it again**.

## Autopilot

Autopilot lets the approved steps go with no yes for each email. Only an owner or admin turns it on.

- It comes only after people approved 10 people since the steps changed.
- It lasts up to 30 days, with a number of emails a day.
- Flagged emails still wait for a yes.

Autopilot ends when its date comes, the steps change, the campaign pauses, a mailbox stops, or 3 of its last 100 sends
unsubscribed. Then its unsent emails go back to draft, and Outreach says why in the troop chat. Select **End Autopilot**
to end it.

## Sort the replies

Open **CRM** > **Replies**. It shows **To sort**, **Interested**, or all replies.

1. Read the reply. Troopy keeps it without what it quotes.
2. Sort it: **Interested**, **A question**, **Not now**, **Not interested**, **Away** or **Wrong person**.
3. Or select **Unsubscribe them**. This unsubscribes them for good.

**Not interested** also puts the person on do-not-contact for good. The weekday routine Sort replies of Outreach can
sort the replies for you.

### What Troopy does with replies alone

- A reply stops the steps of its person.
- "No" unsubscribes the person.
- An automatic reply pauses the person until a day after they come back.
- A bounce marks the address. Two bounces in the last 50 sends pause the mailbox.

Each email ends with an unsubscribe link, and a reply with "unsubscribe" works too.

## Pause and resume

**Pause** stops the campaign at once. **Resume** starts it again. A paused campaign keeps its drafts.
