# Use organizations and workspaces

> Make a workspace for each business or client, switch between them, and set up a workspace.

An organization holds your people and your AI plans. A workspace holds one business, brand or client, with its own troop, data, cloud computer and plan. This page tells you how to add a workspace, switch between workspaces, and set up a new workspace.

## How organizations and workspaces fit together

Troopy makes your organization and its first workspace when you sign up. Setup gives that workspace the name of your business.

| Part | Where it belongs |
| --------------------------------------------------- | ---------------------------------------------- |
| People and their roles | The organization |
| AI plans | The organization. Each workspace uses them. |
| The cloud computer of the troop | The workspace. Each workspace has its own. |
| The plan at Troopy: the Trial, Pro, Max or Ultra | The workspace. Each workspace pays for itself. |
| The theme of the names of teammates | The organization |
| Teammates, tasks, docs and the data of each product | The workspace |
| Apps, API keys and the Vault | The workspace |
| The brain, the brand and the memory files | The workspace |

Owners and admins reach every workspace of the organization. Each other person reaches only the workspaces that someone invited it into. See [Invite people and choose their roles](/docs/people).

A person can be in more than one organization. The workspace menu shows the workspaces of each organization under its name.

## Switch to another workspace

1. Select the workspace menu at the top of the sidebar. It shows the logo and the name of the open workspace.
2. Select a workspace in the list.

Troopy opens **Home** of that workspace. The next time that you sign in, Troopy opens the workspace that you picked last.

You can also switch on the **Organization** page of **Settings**. In the **Workspaces** list, select **Switch** beside a workspace. **Current** marks the open workspace.

> [!NOTE]
> An API key acts only in the workspace where you made it. A switch in the app does not change the workspace of a key.

## Add a workspace

Owners and admins of the organization add workspaces. Make one workspace for each business, brand or client.

1. Select the workspace menu at the top of the sidebar.
2. Select **New workspace**.
3. Under **New workspace in**, enter the name of the workspace. A name has 80 characters at most.
4. Select **Create workspace**.

Troopy adds the workspace to the organization of the open workspace, and opens its setup. The setup asks for the business, a plan, and the colour of its computer. Then the computer of the workspace launches, and you connect the AI plan on it. See [Pick a plan for a workspace](/docs/billing).

The new workspace starts with its own Chief of Staff. Its name comes from the theme of the names of your troop. Each setup screen links your other workspaces, so you can leave a setup that waits.

Owners and admins reach the new workspace at once. Other people reach it only after an invite.

You can also add a workspace with the CLI or the API. The key needs the scope `organization:write`. The workspace then waits for its setup in the app:

```bash
troopy workspace create --name "Northwind Bakery"
```

## Set up a new workspace

A new workspace knows only what its setup asked. Do these steps in the new workspace after its setup.

1. **Give it a name and a logo**

Open **Settings**. Under **Workspace**, select **General**. The **General** tab has the **Logo** and the **Workspace name**.

2. **Tell the troop about the business**

Open **Brain** > **Brand** > **Company**. Add the website and what the business does. See [Set up your brand](/docs/brand).

3. **Set the time zone, the region and the language**

On the **General** tab, set **Time zone**, **Region** and **Language**. Then select **Save preferences**.

4. **Choose who answers in the troop chat**

Under **Troop chat**, select **The troop decides** or **The lead answers**. Then select **Save preferences**.

5. **Connect the services of the business**

Owners and admins open **Settings** > **Apps**. Each workspace connects its own services.

6. **Invite the people of the workspace**

Open **Settings** > **People** while the new workspace is open. An invite goes into the open workspace.

7. **Hire teammates**

The new workspace has only its Chief of Staff. Hire the roles that the business needs. See [Hire and manage teammates](/docs/teammates).

## The settings of a workspace

Open **Settings**. Under **Workspace**, select **General**. The page has 3 tabs: **General**, **Public dashboard** and **Backup**.

| Setting | What it does | Default | Who changes it |
| -------------------------- | ------------------------------------------------------------------------------------- | ------------------------- | -------------------------- |
| Logo | Shows in the sidebar and to your teammates. Select it to change it. | None | Owners and admins |
| Workspace name | Shows in the sidebar and on the cards of your teammates. | The name that you gave it | Owners, admins and members |
| Time zone | Teammates plan their days and their routines in this time zone. | Not set | Owners, admins and members |
| Region | Teammates write for this market. | Not set | Owners, admins and members |
| Language | Everything that your teammates write in this workspace is in this language. | English | Owners, admins and members |
| Who handles it | Who answers a message in the troop chat that names no teammate. | The troop decides | Owners, admins and members |
| Learn from what people say | The lead reads messages and comments, and keeps facts about the business as Memories. | Off | Owners and admins |
| Learn from finished tasks | A teammate writes down what a task taught it. You approve each lesson first. | On | Owners and admins |

These are the details of the settings:

- A logo is a PNG, JPEG or WebP picture of 512 KB at most. Troopy saves it at once.
- A workspace name has 80 characters at most. Select **Save** under the name.
- **Language** has 23 languages.
- With **The troop decides**, the lead reads each message that names no teammate. A teammate answers it, looks into it quietly, reacts, or leaves it to the people.
- With one person in the workspace, the lead always answers.
- The other settings save when you select **Save preferences**.

In its workspace, the admin of a workspace also changes the settings of owners and admins. Viewers, approvers and guests change none of these settings.

The **Public dashboard** tab shares a read-only view of the workspace. See [Share a read-only view of your workspace](/docs/public-dashboard). The **Backup** tab downloads the data of the workspace. See [Download a backup](/docs/backup).

## The settings of the organization

Open **Settings**. Under **Organization**, select **General**.

- **Name**: the name of the organization. A new organization has the name **Default Org**. Owners and admins change it, with 80 characters at most.
- **Overview**: the owner, and how many people, workspaces and AI plans the organization has. It also shows when someone made the organization.
- **Workspaces**: each workspace that you reach, with **Switch**.
- **Billing**: each workspace has its own plan, on the one card of the organization. **Open Billing** opens **Settings** > **Billing**. See [Pick a plan for a workspace](/docs/billing).

## Problems

| Message or symptom | Why | What to do |
| --------------------------------------------- | ------------------------------------------------------------- | ------------------------------------------ |
| The workspace menu has no **New workspace**. | Only owners and admins of the organization add workspaces. | Ask an owner or an admin. |
| A workspace is not in the workspace menu. | Nobody invited you into it. | Ask an owner or an admin for an invite. |
| "The logo must be 512 KB or smaller." | The picture is too large. | Make the picture smaller, then try again. |
| "The logo must be a PNG, JPEG or WebP image." | Troopy reads only these 3 kinds of picture. | Save the logo as a PNG, JPEG or WebP file. |
| "Only owners and admins can change the logo." | Your role cannot change the logo. | Ask an owner or an admin. |
| "Use at most 80 characters" | The name is too long. | Use a shorter name. |
| "Only owners and admins can do that." | A key or a person without that role tried to add a workspace. | Ask an owner or an admin to add it. |
