Manage your troop
Manage what your troop remembers
Edit the memory files, check the facts that teammates saved, and correct a note that is wrong.
Before a teammate works, it reads the memory of the troop. That is the shared files of the workspace, the About you file of the person who asks, and its own files. This page tells what each file holds, how to edit it, and how to check the facts that teammates saved.
Open Memory
Open Brain in the dock, then Memory. The page lists the Shared files, your About you file, the files of each teammate, and Memories.
The shared files
| File | What it holds |
|---|---|
| Company | What the business sells, to whom, and how. |
| Contacts | The people of the business, and who to call for what. |
| Glossary | The words of the business, and what each one means. |
| Troop | Who set up the workspace, each teammate, and the rules of the troop. |
| Voice | How the business sounds: its tone and its words. |
| How teammates handle email. Settings > Email edits it too. |
Anyone in the workspace edits the shared files. Each file holds 10,000 characters at most.
Edit a file
- Select the file. It opens in Write. Select Preview to read it.
- Change the words. The file saves, and says "Saved. Teammates read it from their next run."
To let a teammate rewrite a file, select Ask and the name of the teammate to update this. Its chat opens with the file attached. The Chief of Staff proposes the change, and a person approves it.
How the files fill themselves
- The answers of setup fill the empty files one time.
- The Chief of Staff drafts the Company, Glossary and Voice files from your website, into the files that nobody wrote.
- Troopy keeps the Troop file up to date when you hire, rename or fire a teammate. After a person changes the file, Troopy changes only its own lines in it.
About you
About you is your own file. It says who you are and how you like to work. Only you read it in the app, and the teammates read it when you ask them for work. Each person has one.
The files of a teammate
Each teammate has 3 files of its own:
| File | What it holds |
|---|---|
| Notes | What the teammate keeps about its work: its role, its first day, and the facts that it learned. |
| Personality | How it talks and works. |
| Identity | Its name, what it is, and the job it was hired for. |
A teammate drafts its Identity and Personality from the Company file, into the files that no person wrote. After that, it proposes changes, and a person approves each one. A lesson that a person approves adds one line to the Notes. See Add and manage skills.
Memories: the facts that teammates saved
When a person says a fact in a chat, the teammate keeps it as a Memory. Each Memory keeps who said it and where.
- When someone says the fact again in another conversation, Troopy confirms it.
- A new fact can replace an old note. The old note stays out of search until someone restores it.
- A fact about yourself, in a chat that you started, stays with you. No teammate reads it.
Remember something
- On Memories, select Remember something.
- Type What to remember, such as "Wholesale pricing starts at 50 boxes".
- Select Remember.
Correct a fact
- An answer cites what it used, as chips under the answer. Select That's wrong on a note that is wrong. The note leaves search until someone restores it. Only the person who marked it can take the mark back.
- On Memories, select Forget on a fact, and confirm. Teammates stop finding it. You can restore it.
Still true?
Some notes come back to the person who said them, in Needs you, as Still true?. A note comes back when teammates relied on it in 2 conversations within a month, and nobody said it again for 60 days.
- Answer Still true, Not anymore or Ask me later.
- Not anymore takes the note out of search. Ask me later asks again after a month.
You answer 2 of these notes a week at most. Telegram can ask you too. See Talk to your troop on Telegram.
Learn from what people say
An owner or admin can turn on Learn from what people say in Settings > Workspace. Then the Chief of Staff reads the words of people that no teammate read: troop messages that named no teammate, and comments on tasks. Each fact about the business becomes a Memory. Troopy drops a fact that can hold a secret.
What a teammate did before
Troopy keeps a line for each run of a teammate on a task: the task, where it stands, and a summary. At the start of a run, the teammate recalls the lines that share words with the ask, as "What you did before". The line never holds the words of a chat.
